REPORTS TO: Director of Council Services, Clerk
LOCATION: Initial Placement - Paris Administration Office

Minimum Qualifications:
  • Post Secondary School education or equivalent combination of education and experience
  • Over two years’ experience in a related field
  • Minute taking experience, including knowledge of parliamentary procedures
  • Demonstrated above average customer service and organizational skills
  • Demonstrated above average oral and written communication skills
  • Excellent proof reading and grammatical/punctuation editing skills with precise attention to detail 
  • Ability to work in a fast-paced team environment
  • Ability to maintain professionalism while under pressure
  • Demonstrated ability to balance a flexible work schedule including days, and attending evening meetings
  • Demonstrated ability to maintain confidentiality, above average attendance and safe work record
  • Ability to travel between County offices and facilities as required
Assets:
  • Experience converting documents into accessible format
  • Experience in a Municipal Clerk’s field
  • Experience with an electronic agenda management system
  • Experience working in Municipal or other elections

Duties:
  • To provide support services and day to day leadership/planning assistance to the Council Services Department, including but not limited to:
    • Primary recording secretarial support to assigned Boards and Advisory Committees of Council, including preparation of agendas, recording meeting proceedings, transcribing minutes and preparation of related correspondences, etc.
    • Vital Statistics: vetting and issuing burial permits and marriage licenses and remit to Office of the Registrar General and other municipalities as required
    • Agenda Preparation:  compile information for Council and other committee agendas.   Maintain and update By-law Directory
    • Update monthly calendar, website information, and meeting schedules
    • Research Municipal by-laws, agreements, minutes, etc., for departments within the County
    • Municipal election assistance
    • Back-up support for the Executive Assistant to the Mayor and the Deputy Clerks
    • Other duties as assigned
Annual Salary Range – $56,202– $65,757 (Job Grade 3 – Under Review) 35 hours per week
