Minimum Qualifications:
- Law Clerk diploma or equivalent combination of education and experience
- Minimum two to three years of related administrative and clerking experience within a legal environment, with a focus on litigation and/or municipal law
- Proficiency with Microsoft Office including word processing, spreadsheets, databases, internet and email, as well as Smart Sheets
- A self-starter who is motivated and takes initiative
- Sound analytical, research, organizational skills and attention to detail
- Knowledge of various statutes including the Municipal Act, Planning Act, Municipal Freedom of Information and Protection of Privacy Act, Ontario Land Tribunal Act, etc.
- Strong understanding of the importance of confidentiality in a legal department with good judgement and discretion
- Demonstrated ability to remain professional and effective under pressure while responding to unexpected deadlines and urgent situations
- Ability to identify issues, problem solve and implement continuous improvement initiatives
- Excellent customer service and communication skills both written and verbal
- Excellent organization and file management skills
- Excellent keyboarding and data entry skills, proof reading and grammatical/punctuation editing skills
- Ability to work independently in a fast paced, highly regulated, team environment
- Acceptable police records check and ability to travel throughout the County as necessary for work
- Experience or familiarity with the operations of a law office within a government setting
- Familiarity with court and tribunal processes, especially the Ontario Land Tribunal and Ontario Court of Justice (Provincial Offences)
- Understanding of general court procedure including Rules of Civil Procedure
- Provide legal administrative and clerking support services to the Solicitor & Corporate Counsel, the Assistant County Solicitor and various members within the Legal Division
- Organize and maintain litigation and legal files; update information on the status of cases/files and/or charges laid and keep lawyers apprised of same; conduct corporate searches and requisition files from various departments; anticipate next steps on files and work with lawyers to bring files to closure
- Prepare and file basic court documents and prepare required exhibits and document briefs (i.e. evidence and case law) for court and tribunal matters
- Ensure coverage of insurance matters, including regular contact with claimants and preparation of releases
- Prepare and review draft reports, letters, memos and other legal correspondence under direction of supervisor; liaise with County departments to obtain documentation; oversee public outreach on real estate notifications
- Complete research in relevant areas of experience as requested by lawyers
- Correspondence with external entities including opposing counsel, court registrars, case coordinators, members of the public, consultants and experts, etc.
- Basic accounting including preparing approvals for credit cards, mileage, conferences/training, insurance bills, etc.
- Managing and reviewing legal subscriptions, including Westlaw, BLA, Law Society, etc.
- Review and revise current working file management system and maintain tracking system for outstanding items from supervisor and follow up accordingly
- Maintain calendars of lawyers and the division, including scheduling of meetings and preparation of materials
- Other administrative duties as assigned
